Call Minutes on Eclipse Booth at CeBIT
November 8th, 4:00 pm CET

- confirm hotel block at Valk by 6 December

Robbie robot at CeBIT - Snezana

- there will be additional costs / charge for using the robot outside of our booth (promotion with Robbie Robot at the booth is free of charge)
- promotion near the entrance is between 4000 and 8000 Euro (depending on which entrance it is).
- if we want the robot to walk through the hall/corridor they have to proof if it is allowed (risk of injury).
- if it is allowed, the charge is similar to the promotion near the entry area.


Open Source Park home page

- Fr. Koch will resend us the floorplan from the open source park
- lower right side of OS park
- currently located on bottom right of open source park - we have two open sides- http://www.open-source-park.com/564505.0.html
- would the same location as 2010 be possible - center aisle, across from the Linux New Media theater
- once we have the plan for the open source park, we can discuss by email
- specs for a flag similar to OpenOffice (showing in picture) and how it can be mounted on the stand
- larger and more signage along top rail of the exhibit
- demo area is already planned into the new Island
- beamer and screen - need to be rented or we can bring our own
- will send stand description (including furniture)
- open booth design - open all sides, hanging banners, etc
- will send contact info for lodging in private homes
- end of November we'll receive the service documents and guidelines in German (guidelines in English as well)

Timeline:

November 2010

- confirm participating companies
- details of exhibitor benefits  (eg. same as last year?) - on a call that includes Mr. Frank, Pluspol
- exhibit design - demo area, signage, banners, space for roll ups, AV arrangements
(need better ways to highlight the company names on the stands as well as the Eclipse Foundation in general)
- submissions for talks ( Linux New Media demoCamp )
- optimize hotel block
- joint giveaways

December 2010
- production - banners, signs, standblende

January 2011
- joint promotion - PR, blogs, newsletters, etc
- release unbooked hotel rooms (6 weeks prior)

February 2011
- demo schedule


Notes:
- extended deadline to end of October - Pluspol however, has been flexible in terms of new participants

Registration fee
- last year, Pluspol paid the fees to Deutsche Messe on our behalf because they needed to fill the space
- instead of reducing fees, we should negotiate for more space
- EF will not have its own ped; a listing would also be EUR 300
- SIGS Datacom - EUR 300, plus 1,000


CeBIT 2010 results
Qualified leads per company - 40-60
Postcard mailings - 3000 - demonstrates lots of traffic, but lead gen from the prize drawings was not very successful - high volume, no quality
Open Source Park - had good traffic, located across from mini-theater from Linux mag

Ideas:

- Demo area or meeting area in the booth
- Reception for guests by invitation - would need separate area
    - Pluspol did open source party last year
- Participate more in press events and have a joint press release
- Poster - TBD
- SIGS datacom - insert about the Eclipse Island
- organize discount for Hotel in Hildesheim

- facebook/twitter posts - organized so that all companies on the booth prepare 1 post per day and publish under the eclipse logo

Robbie Roboter - EUR 300 / day
The Link for advertising with Robbie Roberter at the cebit booth.  http://www.robbie-werbung.de/ . There are 4 sides for advertising, there is a display for slides or product demos, and items (Flyer etc.) can be carried in the basket in his hands. A real person is handling the robot onsite. (the robot handlers will charge travel expenses). The Robot is lifesized, can roam the halls and make audio announcments
