I have been on vacation until yesterday and am just catching up with my emails. 

Here's a short overview of our current process.

The OSGi Program Committee has voted on all submissions for the OSGi track and will finalize the selection and approval process tomorrow. 
The agenda will be finalized in the following days.

Sponsor outreach is ongoing - one new sponsor will be Adobe.

The call tonight is THE call. Mostly we will talk about all talk submissions, conflicts that we have, we will see who is in and who is out and at end have a first outlook what is in the program.

I have already opened a column to show conflicts and I'd like to at least discuss all talks with orange or red color marks. I also marked some talks as "Discuss". Conflicts should be resolved by someone moving their votes a little up or down, so that we come to a kind of common understanding what we want in the program and what not. So if A votes 2 and B votes 8, that needs to be resolved someone (one convincing the other). A votes 4 and B votes 6 or 7 is not that much of a problem. So prepare to be a little flexible but also have arguments to convince other people. (It should NOT be "you get this talk and I get this")

If you have time you can prepare yourself already for discussions about conflicts but that is not a prerequisite to participate :-). My estimate for the call was 2 hours, but I dont like to end the call before are through all the submissions. So please dont drop out after 2 hours but reserve time if we need it. We need to go through all the talk submissions.

We will not really talk much about tutorials. If there is pain point for someone who would like to promote a tutorial over another, there is still time to do that tonight.

I promise to not waste time :-).

@Susan: You indicated in the calendar that you participate tonight. So we will have you first and you can give us an update about the OSGi voting. You dont need to be on the call for the whole duration since voting for the talks is separated between "Eclipse" and "OSGi".

My intention is also to find talks that dont make it at the cut, but where the abstract is worthwhile improving so that it could make it.

Last year we had a discussion whether there is a limit how many talks a single person can get and at the time we agreed that there is no such limit. 

But I like to balance the topics. So 5 BIRT talks with no XText talk is just not right. (no danger of that happening just an example) I think we already have some submissions that sound fairly equal and its ok to vote for one and drop the other.

A new option that we didnt do last year that we could be doing is that we put talks on a waiting list that where otherwise rejected. Like 5 or 10 talks below the cut could go on a waiting list, the speaker is asked whether he/she likes that and sometimes slots open up and then we can pull talks from there. Since we have never done that before, I have no real idea how many we should pick, but Ralph, Anne hat had discussed that as an option.

I think we have great submissions and we need to find the best ones for the conference.
